Responsibilities

Experience in a support role working with multiple Executives is preferred. This role requires exceptional relationship building, organizational skills, attention to detail, and the ability to handle sensitive and confidential information with utmost discretion. The ability to use resources, manage conflicting priorities, meet deadlines, work independently with minimal supervision, and communicate in both written and verbal formats is also crucial for success in this role.

  • Responds to visitor or caller inquiries and requests and/or refers them to the appropriate staff member
  • Schedules appointments and maintains Leaders calendar
  • Organizes and maintains records, files, procedural manuals, reference materials, data, and miscellaneous information
  • Prepares correspondence, reports, and/or materials for appointments, meetings, etc
  • Receives, opens, and/or distributes mail, printed materials, supplies, etc
  • Requisitions supplies, equipment, printing, maintenance, and other services
  • Arranges meeting facility, seating, refreshments, equipment, and other services, as requested
  • Coordination and planning of large events
  • Gather and analyze Claim Litigation Counsel (CLC) metric data
  • Maintain CLC policies and procedures
  • Create, distribute and track annual claims survey results
  • Create job ads and scheduling interviews
  • Assist with annual audit requests
  • Assist with Business Continuity Plan processes
  • Mentors and trains others, as needed
  • May participate in the annual furniture and equipment inventory process
  • May arrange travel and lodging reservations
  • May work with external business partners and vendors
  • The selected individual will be considered a hybrid employee, spending required time in the office with some optional opportunities to work in a virtual environment at times. Work arrangements are subject to change over time based on business needs.


Qualifications

  • Proficiency in all Microsoft Office applications, especially Outlook
  • High learning agility, specifically with technology
  • Demonstrated initiative in thinking/acting ahead of the leader; anticipating and fulfilling needs of the leader without direction
  • The ability to work across the enterprise with multiple business areas and with multiple layers of leadership
  • Excellent communication skills, both written and verbal
  • Ability to work individually and with collaborative, team-oriented skills and mindset
  • Positive, inclusive, and professional attitude
  • Leadership skills among peers with the ability to lead up and influence others
  • Building and maintaining relationships and resources throughout the Enterprise at all levels
  • Assist with department and leadership meetings including scheduling, creating agendas, generating reports and other coordination as needed
  • Position may require supporting more than one leader or a large department
