Description

SUMMARY:

Operations Migration Manager will provide coordination, discovery, and integration of acquisitions, during the due diligence and post-closing phase, as it relates to Operations systems and processes for all business segments (commercial lines, personal lines, employee benefits). The Operations Migration Manager will work with the acquired entity, and its employees, to review the current AMS structure, and workflows, to compare/contrast those to INSURICA’s existing processes and quality assurance standards to successfully migrate to Applied Epic and the INSURICA Way. This role will focus on migration planning, processes, training, onboarding people and the office, go-live preparation, and post-go-live activities.

ESSENTIAL FUNCTIONS:

  • Coordinate with Mergers & Acquisitions team members on gathering due diligence information through closing and migration of acquisition to INSURICA
  • Gather information from the acquired entity related to existing workflows and processes, analyze differences or variations from INSURICA's best practices, develop an effective plan to migrate to INSURICA's processes
  • Work with Mergers & Acquisition team members to determine the timing and steps needed to prepare one AMS System for migration into INSURCIA's AMS (Applied Epic)
  • Develop and implement an effective training plan and schedule for new colleagues in all business units
  • Review acquisition data sample files for agency management system migration; partner with the Director of Operation Data Services to review and test migrated data
  • Coordinate and review test/sandbox database environments.
  • Communicate with companies about changes in the agency management system for download purposes and any other updates pertaining to migration
  • Coordinate with Epic Administrator for Applied Epic System Administration including, but not limited to, the following areas:
  • Downloads - ensure accurate operations and provide guidance on difficult issues
  • INSURICA Accounting - Department Support as relates to acquisition and migration
  • Applied Mobile - maintain licensing, user configuration, and provide support to users for password reset and application usage
  • Configurations - develop and implement non-routine configurations
  • Reporting - design, implementation, and scheduling of ad hoc reporting
  • Support - provide user support for difficult or escalated issues
  • Review system integration for all other platforms, as related to the migration of acquired entity (e.g. SalesForce, OpenBots, Adobe, CSR24, Total CSR, or other platforms); coordinate with Corporate Technical Trainer to set training objectives, goals, and milestones for acquired entities, as well as existing colleagues
  • Review existing processes, analyze for best practices, and provide feedback on process improvements
  • Utilize existing, or create new, processes for file review and audit practices of acquired entity colleagues, to ensure a successful migration to INSURCIA and INSURICA's AMS
  • Develop and maintain in-depth knowledge of Applied Epic and insurance agency management trends
  • Maintain documentation of merger and acquisition activity, inputs & decisions, final plans, and regular updates with the Director of Enterprise Operations
  • The Operations Migration Manager will work with the Mergers & Acquisitions Project Manager, Mergers & Acquisitions Insurance Accounting Expert, as well as the Corporate Trainer(s) for successful post-closing and assimilation to INSURICA
  • Perform all actions relating to customers and companies in a manner that will avoid issues involving potential errors and omissions
  • Participate in position-appropriate seminars and other training to maintain and develop knowledge and skills

Qualifications

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Thorough understanding of agency operations, agency roles, and other agency management systems
  • Demonstrated knowledge of Epic (AMS) and related programs (CSR24, Indio, Epic Quotes/Ezlynx, Applied Mobile)
  • Thorough understanding of business segment operations for commercial, employee benefits, and/or personal lines of coverage
  • Working knowledge of outsourcing partner relationships and functionality (RSP, Task Force, Office Beacon, etc.)
  • Ability to gather and analyze facts, draw conclusions, define problems, and suggest solutions
  • Ability to communicate effectively, both verbally, and in writing
  • Ability to promote, and maintain a team environment, willing to find accommodating solutions for our customers, companies and the Agency
  • Ability to effectively represent INSURICA professionally and successfully relay INSURICA's core values to all colleagues
  • Excellent project management skills
  • Ability to effectively implement overall Enterprise Operations strategies, objectives, and quality assurance standards
  • Excellent PC skills, with a focus on the Microsoft Office Suite of products (Excel, Word, Outlook, Teams, PowerPoint, etc.), as well as the ability to effectively utilize agency management systems, PowerBI, Vimeo, etc.
  • Effectively develop and deliver presentations electronically (Zoom, Go To, Teams, etc.) or in person
  • Ability to travel, often extensively, both in, and out, of state, with overnight commitments, approximately 20%
  • Ability to work within a fast-paced, changing priority environment
  • Self-motivated, with the ability to manage multiple, highly complex projects, as well as the initiative to be self-directed and prioritize accordingly
  • Regular and punctual attendance is required
  • Excellent interpersonal skills, with the ability to interact effectively with both colleagues and managers, across all levels
  • Ability to successfully adhere to company policies and procedures, as well as maintain strict confidentiality

QUALIFICATIONS:

  • 5-7 years of property and casualty insurance, preferably with an agency, preferred
  • 3-5 years of previous agency operations experience preferred
  • 2-4 Years previous supervisory experience, with mergers and acquisitions and/or onboarding new offices/employees preferred
  • Bachelor's degree, or equivalent education and/or experience preferred
  • One or more certifications related to database administration, report generation, or business applications preferred
  • Insurance-related, adult education, or advanced business-related designation(s) preferred (e.g. MBA, CIC, APTD)

WORKING CONDITIONS AND REASONABLE ACCOMMODATIONS:

  • Fast-paced, multi-tasking, office environment with periodic high disruption and changing priorities
  • Ability to perform approximately 80% sedentary work, exerting up to 10 pounds of force occasionally, and negligible force frequently
  • Ability to lift up to 20 pounds occasionally
  • Requires operation of a computer workstation, including keyboard and video display
